Privacy Policy
This Privacy Policy explains how Paragon Government Solutions LLC DBA Quorum ("Quorum," "we," "us") collects, uses, and shares information when you use our websites and applications (the "Service").
1. Information we collect
- Account information: organization name, your name, username, email address, and a password (stored only as a salted cryptographic hash — we cannot read it).
- Board member information entered by your administrator: names, roles, usernames, and personal email addresses used to deliver documents and notifications.
- Organization content: checklists, documents, votes, meetings, and notes your organization stores in the Service.
- Payment information: processed by Intuit QuickBooks Payments. We receive confirmation of payment (amount, date, payer name/email) but never your full card or bank numbers.
- Technical data: log and device data (IP address, browser type, timestamps) and an essential session cookie used to keep you signed in. We do not use advertising cookies.
- Communications: messages you send us (for example to support or through our contact form).
2. How we use information
- To provide, secure, and improve the Service (authentication, per-organization data isolation, backups).
- To process payments, activate plans, and send transactional messages (invites, vote notifications, receipts, service announcements).
- To respond to support requests.
- To comply with law and enforce our Terms.
We do not sell your personal information, and we do not use your organization's content for advertising.
3. Sharing and processors
We share information only with service providers who process it on our behalf under contractual protections, currently including: Vercel (hosting), Neon (database hosting), Intuit QuickBooks (payments and invoicing), FormSubmit (contact/waitlist form delivery), Google Fonts (font delivery), and — when your organization connects them — DocuSeal (e-signatures), Google Calendar, Zoom, and your email provider. We may also disclose information if required by law, to protect rights and safety, or as part of a merger or acquisition (with notice).
4. Security
Data is encrypted in transit (TLS). Passwords are stored as salted bcrypt hashes. Each organization's data is logically isolated and accessible only to its authenticated members according to the permissions its administrator sets. No method of transmission or storage is 100% secure; report concerns to support@quorumsuite.com.
5. Retention and deletion
We retain information while your account is active and as needed for legal and accounting obligations. When an account closes, organization content is available for export for 30 days and then queued for deletion. You may request deletion of your data at any time by emailing support@quorumsuite.com from the account email; we will act within 45 days, subject to records we must keep by law.
6. Your rights
Depending on where you live (including under the Virginia Consumer Data Protection Act and similar state laws), you may have rights to access, correct, delete, or receive a copy of your personal information, and to appeal a decision we make about a request. Exercise any of these by emailing support@quorumsuite.com. We will not discriminate against you for exercising your rights.
7. Children
The Service is for organizations and adults; it is not directed to children under 13, and we do not knowingly collect their information. If you believe a child has provided us information, contact us and we will delete it.
8. Changes
We may update this policy from time to time; material changes will be announced by email or in-app notice. The "Effective" date above reflects the latest version.
